Manage files and folders

Learn how to copy, move, rename, share, and delete files and folders in the Media Library.


Copy and move files

Select single or multiple files and right-click to open the context menu options. Click on the "Copy" or "Move" menu option and select the destination folder.

In a copy operation, the 'Include file version' option lets you copy all versions of the source files to the destination.

Notes

  1. Old files are deleted during the move operation. If you don't want the old files to be deleted, copy them instead of moving them.
  2. Copy Operation: On completion of a copy file operation, access control and permission levels for the source file remain unchanged. If a file with the same name exists at the destination location, new file versions will be created, and the ownership, access control, and permissions present at the destination location's file will persist. If no file exists in the destination folder, the copied asset's ownership is set to the user who did the copy operation. Additionally, the destination location’s permissions from shared parent folders would come into effect.
  3. Move Operation: If a file with the same name exists at the destination location, new file versions will be created, and the ownership, access control, and permissions present at the destination location's file will persist. If the source file were added to any media collection, the destination file would now be added to those media collections. If no file exists in the destination folder, the moved asset's ownership, access control, and permissions remain unchanged. Additionally, the destination location’s permissions from shared parent folders would come into effect.

Copy and move folder

Select single or multiple files and right-click to open the context menu options. Click on the "Copy" or "Move" menu option and select the destination folder.

Rename files

After you upload a file, you can rename it in the Media Library.

Select a file and right-click to open the options dropdown. Click on the "Rename" menu item.

It will open a modal where you can enter the new file name.

While renaming, you can also purge the CDN cache for the URL with the old file name.

Old URLs will stop working
When you rename a file, the URL also changes, which means the old URL will stop working. It could be cached for a while, but it will eventually stop working.

Delete files and folders

Select single or multiple files and folders you want to delete and right-click to open the options dropdown. Click on the "Delete" menu item. This will open a confirmation popup. Upon confirmation, the file will be permanently deleted from the Media Library.

Delete entire media library

Under Media Library settings, you can find an option to delete the entire Media Library. This will delete all the files and folders in the Media Library, making the action irreversible.

If you encounter any issues while deleting the entire Media Library, please contact our support team.

Share files and folders

Select a single file or folder you want to share, right-click to open the options dropdown, and click on the "Share" menu item. This would open a popup where you can take the following actions:

  • View information about currently shared permission levels and access with users and user groups.
  • View information about Media Collections in which the asset is added.
  • View information about the parent folder through which the user can access the asset.
  • Share the asset with users and user groups and set their permission level.
  • Update the permission level of existing users and user groups.
  • Revoke access to the asset for restricted Media Library users and user groups.

When a file or folder is shared with a user, they will receive an email and a notification in their Notification Center to inform them of the operation.

Select multiple files and folders

You can do any of the following:

  • Select an item - Click the item.
  • Select multiple items - Press and hold the ⌘ Command key or ctrl key , then click the items (they don’t need to be next to each other).
  • Select multiple adjacent items - Click the first item, then press the ⇧ Shift key and click the last item. All items in between are included in the selection.
    You can also click near the first item, press and hold the trackpad or mouse button, and then drag over all items you want to select.
  • Deselect one item when multiple items are selected - ⌘ Command or ctrl and click the item.
